Data and Privacy Notice September 2026
1. Who we are
The Military Vehicle Trust, known as MVT, is a UK registered charity and membership organisation dedicated to conserving and restoring ex-military vehicles, educating and inspiring the public, and honouring and respecting military vehicle heritage. MVT is the data controller for personal information collected through mvt.org.uk and through related membership, enquiry, event and supporter forms.
If you have any questions about this notice or how MVT uses your personal information, please contact: [email protected].
2. What information we collect
We may collect personal information that you provide when you use our website, join or renew your membership, contact us, register for events, volunteer, make a donation, request information, or choose to receive updates from us.
- Name and contact details, such as postal address, email address and telephone number.
- Membership details, payment status and communication preferences.
- Enquiry, event, volunteer, donation or supporter information that you choose to provide.
- Website usage information, such as IP address, browser type, pages visited and cookie preferences.
- Correspondence sent to us by email, contact form, post or other channels.
We use personal information to manage membership, respond to enquiries, provide requested services, administer events and volunteering, process payments or donations, maintain records, improve our website, meet legal obligations, protect MVT’s legitimate interests, and send marketing or supporter communications where the law allows us to do so.
4. Lawful basis for processing
Depending on the activity, our lawful basis may be contract, legal obligation, legitimate interests or consent. For example, we use contract where we need to manage membership services, legal obligation where we must keep financial or charity records, legitimate interests where we respond to enquiries or administer the Trust, and consent where you have actively chosen to receive certain marketing communications.
5. Marketing communications
We will only send electronic marketing communications where we have a lawful basis to do so under UK data protection and electronic communications laws. This may include your consent, or another basis permitted by law, such as the charitable purposes soft opt-in where its conditions are met. Marketing may include updates about MVT news, membership, events, activities, fundraising, volunteering opportunities and ways to support our charitable purposes.
You can change your marketing preferences or unsubscribe at any time by using the unsubscribe link in our emails or by contacting us at [email protected]. If you opt out, we may keep limited details on a suppression list so that we do not contact you again by mistake.
6. Sharing your information
We do not sell personal information. We may share information with trusted service providers who support our website, membership administration, payment processing, email distribution, analytics, IT support, insurance, event administration or other MVT operations. Where required, we put appropriate arrangements in place so that service providers process personal information securely and only for agreed purposes.
7. How long we keep information
We keep personal information only for as long as necessary for the purpose it was collected, including to provide membership services, respond to enquiries, maintain records, meet legal or tax requirements, resolve disputes and protect MVT’s rights. Retention periods may vary depending on the type of information and legal requirements that apply.
8. Cookies and analytics
Our website may use cookies and similar technologies to make the site work, improve user experience, understand how visitors use the site and help us improve our services. Where required, we will ask for your consent before setting non-essential cookies. You can manage cookies through your browser settings or any cookie preference tools provided on the website.
9. Your rights
Under UK data protection law, you may have the right to ask for access to your personal information, correction of inaccurate information, deletion, restriction, portability, objection to processing and withdrawal of consent where processing is based on consent. You also have the right to object to direct marketing at any time.
To exercise your rights, please contact [email protected]. You can also complain to the Information Commissioner’s Office if you are unhappy with how we handle your personal information.
10. Security
We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Access to personal information is limited to people who need it for MVT purposes.
11. Changes to this notice
We may update this privacy notice from time to time. The latest version will be published on mvt.org.uk with the date of the most recent update.
